Voyages Audacia terms and conditions

Our role

Voyages Audacia acts as an intermediary between you and the travel service suppliers (carriers, tour operators, cruise lines, hotels), who are responsible for providing those services.

Final payment

The balance must be received no later than the date shown on your invoice. Otherwise, the supplier may cancel the booking, and the cancellation fees set out in its terms will be withheld from the amounts paid.

Checking your invoice

Please check the information on your invoice (names, dates, flights, accommodation, price) as soon as you receive it. Any discrepancy must be reported to us within 24 hours of it being sent. Travellers' names must match their passports exactly; supplier fees may apply to any correction requested later. The person making the booking declares that they are acting on behalf of all travellers in the file and agrees to pass these terms on to them.

Cancellations and changes

The supplier's terms form an integral part of your contract. The deposit is non-refundable unless the supplier itself cancels the trip. Cruises, group trips, event trips and charters often have stricter terms (for cruises, the penalty can reach 100% several months before departure). The agency's service fees, if any, are non-refundable.

Cancellation insurance does not cancel penalties: it may reimburse non-recoverable amounts if your reason for cancelling is covered by your policy. We strongly recommend purchasing it when you pay your deposit.

Suppliers may change schedules, itineraries or accommodation (to an establishment of equivalent category). If a supplier cancels or changes a service, any refund or compensation is determined by its policies and applicable regulations; we will support you through the process.

Price increases

In accordance with Québec's Regulation respecting travel agents, the price may be increased only because of a rise in fuel costs or a change in exchange rates, and never within 30 days before departure. If the increase is 7% or more of the price of the services (excluding GST and QST), you may choose between a full and immediate refund of the services or the provision of similar travel services. Taxes charged at destination, if they change after purchase, may be payable locally.

Baggage, check-in and schedules

For flight-only or flight-and-hotel packages, checked baggage is not included unless otherwise stated; see the airline's fares. You must check in online 24 hours before your flight to confirm your schedule, which may change. We recommend arriving at the airport 3 hours before an international flight or a flight to the United States.

Travel documents

It is your responsibility to make sure your passport meets the requirements of every country you visit (validity, blank pages) and to hold any required visa, electronic authorization or tourist card. For cruises, passports must generally be valid for 6 months after the return date.

A minor travelling without both parents or legal guardians should carry a consent letter signed by the absent parent(s); some countries and carriers require it.

A criminal record, even an old one, may lead to refused entry in some countries, including the United States, even during a flight connection or a cruise stop. Find out before you book.

Check entry requirements, health advice and travel advisories at travel.gc.ca and sign up for the Registration of Canadians Abroad service.

At your destination

The hotel may require a refundable security deposit by credit card on arrival. Services, schedules and facilities may be changed by suppliers, including for public health or safety reasons. Any service added after final payment directly with a supplier (app, phone) must be paid to that supplier immediately.

Complaints

Any problem at your destination must be reported on site to the supplier (representative, hotel front desk) and documented where possible (photos, receipts, file number). Suppliers set deadlines for complaints; let us know as soon as you return so we can help you.

Credit card payments

Depending on the case, your payment may appear on your statement under the supplier's name rather than Voyages Audacia's, and in several transactions. Please contact us before disputing a transaction.

Protection of your money

Amounts paid are deposited in the agency's trust account or with the supplier, in accordance with Québec's Travel Agents Act. As a client of an agency holding a Québec licence, you are protected by the Compensation Fund for Customers of Travel Agents (FICAV), subject to its conditions.
